How to track jobs and invoices for a small service business
If your jobs live in a notebook, your texts and your head, some of them never get billed. Here's a simple way to fix that with a spreadsheet you already have.
Why jobs slip through the cracks
Most small crews don't lose money on the work. They lose it after: the job that got finished on a Friday and never invoiced, the bill that went out and nobody followed up on, the quote nobody called back about. None of it is laziness. It's just that nothing tells you what's still open.
The one rule: one row per job
Every job gets a row the moment it's agreed, and that row stays until the money is in. That's the whole system. Here are the columns that matter:
| Column | Why it's there |
|---|---|
| Date & customer | So you can find it later |
| Job | What you did, in a few words |
| Status | Quoted → Scheduled → In progress → Done → Invoiced → Paid |
| Price & paid | What you charged and what's come in |
| Balance | Price minus paid — calculated for you |
| Invoice date & days since | How long they've owed you |
The three moments to update it
- When a job is agreed: add the row, status Quoted or Scheduled.
- When the job is done: change to Done. Anything sitting at Done is money you haven't asked for yet.
- When money comes in: type the amount in Paid. The balance drops to zero and the row is finished.
That's about 30 seconds per job. Do it from your phone in the truck if that's easiest — Google Sheets works on any phone.
The 10-minute Monday check
Once a week, sort by "days since invoice," biggest first. Anything over 30 days gets a friendly call or text today. Then look for anything marked Done and send those invoices. That one habit is usually where the money is.
Spreadsheet or app?
Apps like QuickBooks, Jobber or Housecall Pro do this and more, and they're worth it as you grow. But they cost money every month and take time to learn. If you're a crew of one to ten and you're not tracking anything yet, a spreadsheet you actually use beats an app you don't. You can always move up later — your list of jobs comes with you.
